Production and staff share dashboard in Power BI: shift, work group and individual performance

A dashboard for the production manager that puts output, scrap, roll grades and downtime of every shift side by side, compares work groups, and calculates each person’s share of output from their minutes on shift.

Industry:
Continuous manufacturing (paper, roll cutting and packing)
Tools:
Microsoft Power BI · SQL

The problem: nobody knew each person’s share of output

On shift-based lines, output belongs to the shift, not to one person. Yet for performance reviews, productivity bonuses and staff planning, the production manager needs to know which shifts each work group and each person attended and what their share of output was.

When that number is built in Excel by splitting output between people by hand, partial attendance, moves between units and day and night shifts are not handled properly, and every month starts a new argument about the figures.

Five views of the dashboard

The dashboard has three columns: unit, work group and staff list on one side; the analysis view in the middle; the Jalali calendar, shift picker and KPI cards on the other side. The middle view has five modes:

  • Shift output: output for every day by day shift (07–19) and night shift (19–07), switchable to scrap, grade 1, grade 2, stops or share.
  • Time and stops: for each 720-minute shift, available time, net downtime and logged production time side by side.
  • Group comparison: work groups on any metric, day and night shifts apart.
  • Staff share: people ranked by their share of output; a double-click opens each person’s day-by-day record.
  • Report summary: a daily, monthly or whole-period table of every metric.

How each person’s share is calculated

A person’s share is not output divided between people; it is “presence-equivalent output”. Someone present for the whole shift is credited with the whole shift’s output, and partial attendance reduces it in proportion:

  • Presence-equivalent output = shift output × the person’s minutes present (max 720) ÷ 720
  • Output and downtime belong to the shift and are counted once in totals; the members’ equivalent outputs do not add up to real output.
  • Net downtime comes from every notification with downtime, after removing overlaps.
  • Supervisors and shift leads are merged with the operator group of the same date and shift, so the work group is seen in full.

How to use the dashboard

Every selection filters all panels at once:

  • Pick the production unit and work group; the chart, cards and staff list update.
  • Click a calendar day so every panel shows just that day.
  • In the staff share view, click a person to filter the dashboard to them and double-click for their daily detail.
  • For a multi-month report, enter any Jalali date range and set the grain to daily, monthly or whole period.
  • The print view prepares the two-shift table and KPI cards for the management meeting.

Decisions made with this dashboard

It gives production, HR and management one shared number:

  • A transparent basis for productivity bonuses and individual reviews, based on actual attendance.
  • A fair comparison of work groups across day and night shifts.
  • Finding the shifts and days with high scrap or downtime and how they relate to crew composition.
  • Staff planning and moves between units without losing anyone’s performance history.

Technical build in Power BI

Output, scrap and roll grades come from shift performance documents, attendance from the time-and-attendance system and downtime from maintenance notifications. A reference SQL query joins the three at day, shift, unit and person level and also returns checks such as documents outside the shift or without a valid time.

The whole dashboard is designed in Power BI: the Jalali calendar, cross-filtering of unit, group and staff, list paging and the print view are all built on one report page and work in Power BI Desktop and Power BI Service.

Frequently asked questions

Which metrics does the production staff performance dashboard include?

Output, scrap, grade 1, grade 2 and ungraded rolls in kg; net downtime and available time in minutes; staff and shift counts; and each person’s share of output by presence.

How is each person’s share of output calculated fairly?

As presence-equivalent output: shift output × minutes present (max 720) ÷ 720. Someone present for the whole shift is credited with the full shift output, someone present for half of it with half.

Can day and night shifts be compared separately?

Yes. The day shift runs 07–19 and the night shift 19–07, and every view can show both shifts side by side or only one.

What data is needed to build it?

Performance or output documents for each shift, staff attendance with work groups, and stoppage notifications. If they live in separate systems or in Excel, a reference query joins them.

Is the data in this portfolio piece real?

No. The company name, people’s names and all figures are fictional; the structure, metrics and calculation logic come from a real project.
